This policy explains what information is handled when you visit this website, schedule a call, contact AigenSols, or begin a business relationship.

These website policies provide general information. A signed proposal, statement of work, or services agreement controls if its terms differ.

1. Who is responsible for your information

AIGEN IT BUSINESS SOLUTIONS LLC, operating as AigenSols, is responsible for the information it collects directly through this website and its business communications. Service providers may separately process information under their own policies or on the company's behalf.

For a clinic's deployed receptionist and call-record workflow, the clinic generally determines why the data is processed and AigenSols handles it under the clinic's instructions and the applicable client agreement. Callers should direct record or privacy requests to the clinic they contacted unless instructed otherwise.

2. Information collected

  • Inquiry information: your name, email address, phone number, company, project details, and anything else you choose to include in an email or message.
  • Scheduling information: details you provide through the Cal.com booking experience, such as your name, contact details, time zone, selected time, and answers to booking questions.
  • Technical and usage information: page or route visited, approximate region, device and browser type, referrer, performance information, and basic hosting or security logs.
  • Client records: proposals, contracts, invoices, project communications, access records, and other information reasonably required to deliver and administer services.
  • Product call records: when the MedSpa service is deployed, records may include caller-provided contact details, call direction and time, audio, transcripts, summaries, booking information, outcome and follow-up status, notes, and technical identifiers needed to operate and troubleshoot the workflow.

Please do not include passwords, government identifiers, payment-card data, health information, or other sensitive information in an initial inquiry.

3. How information is collected

Information may be collected:

  • directly from you when you email, call, or schedule a meeting;
  • automatically through hosting, security, analytics, and performance services when you use the site; and
  • from a client, referral partner, or public business source when there is a legitimate reason to discuss potential work.

4. How information is used

  • respond to inquiries and schedule conversations;
  • evaluate, propose, provide, support, and improve services;
  • operate, secure, diagnose, and understand website performance;
  • maintain business, contractual, accounting, and tax records;
  • prevent fraud, abuse, or security incidents; and
  • comply with legal obligations and protect legal rights.

Product call records are used to provide the clinic's configured receptionist, booking, transfer, follow-up, review, and support functions. They are not used to make independent medical decisions.

5. Service providers and disclosure

Information may be shared only as reasonably necessary with providers that support hosting, analytics, scheduling, email, communication, telephony, AI processing, data storage, CRM integration, accounting, payment, security, and professional services. Current website providers include Vercel for hosting, Web Analytics, and Speed Insights, and Cal.com for scheduling. Product providers and data flows depend on the configuration documented for each clinic.

Information may also be disclosed when required by law, to protect rights or safety, in connection with a business reorganization, or with your direction or consent. Personal information is not sold, and it is not shared for cross-context behavioral advertising.

6. Retention

Information is kept only for as long as reasonably needed for the purpose collected, an active or potential business relationship, security, dispute resolution, and applicable legal, tax, or accounting duties. Retention periods differ by record type. Information that is no longer needed is deleted, anonymized, or securely archived where appropriate.

7. Security

Reasonable administrative and technical measures are used to protect business information, including encrypted website connections and access controls. No internet transmission or storage system can be guaranteed completely secure.

8. Your privacy choices and rights

Depending on where you live and which law applies, you may have rights to request access, correction, deletion, or a copy of personal information, or to object to or restrict certain processing. You may also withdraw consent where processing relies on consent.

Send a request to aymal@aigensols.com. Enough information may be requested to verify your identity and locate relevant records. Authorized-agent requests may require proof of authority. You will not be discriminated against for exercising an applicable privacy right.

9. International processing

The website and its service providers may process information in the United States and other countries. Those locations may have different data-protection laws from your location. Appropriate contractual or legal safeguards are used when required.

10. Health and regulated information

A clinic should not activate a workflow for protected health information until it and AigenSols have determined whether HIPAA or another health privacy law applies and completed any required agreement and technical configuration. This website does not make a blanket representation that every available vendor, integration, or deployment is appropriate for regulated health information.

11. Children

This website and these services are intended for business users and are not directed to children under 13. Information is not knowingly collected from children under 13. Contact the company if you believe a child has provided personal information.

12. External services and policy changes

Third-party sites and services have their own privacy practices. This policy may be updated as the website, providers, or legal obligations change. The effective date at the top identifies the current version.
